What do the finished minutes look like?
MinuteScribe produces a professionally formatted Word document that follows the structure of formal meeting minutes — including the meeting date, attendees, agenda items, decisions made, and action items. You can edit the document in Word just like any other file.
Will MinuteScribe work for my type of organization?

About getting it running
What do I need to get started?
You need a Windows computer, a recording of your meeting, and MinuteScribe credits. That is all. No additional software subscriptions are required.
Does MinuteScribe work on my computer?
MinuteScribe runs on Windows 10 and Windows 11. If your computer runs either of these, you are good to go.
How do I get my recording onto my computer?
It depends on how you made your recording. Our Getting Started guide walks you through the most common scenarios — including transferring a recording from your phone and saving a recording from Zoom or Teams.
I use the free version of Google Meet. Can I still use MinuteScribe?
Yes. The free version of Google Meet does not include a built-in recording feature, but free Chrome extensions are available that can record your meeting audio. MinuteScribe works with the audio formats these extensions produce. See the User Questions section for guidance on setting up a Chrome extension for Google Meet recording.
About using it
How long does it take to produce the finished minutes?
It depends on the length of your recording. A two hour meeting typically takes around ten minutes to process. MinuteScribe will show you its progress while it works — a good time to step away and get a coffee.
Where will the finished document be saved on my computer?
MinuteScribe saves your finished minutes in the Minutes folder, which is accessible directly from the MinuteScribe application. Just click the Open Minutes Folder button.
What if the minutes do not look quite right?
MinuteScribe does its best to produce accurate, well structured minutes — but no automated tool is perfect. Speaker names in particular may occasionally need correction. The finished minutes are saved as a standard Word document. You can edit, format, and save them exactly as you would any other Word file.

How does purchasing work?
MinuteScribe is purchased as a bundle of credits rather than a monthly subscription. You buy once, use your credits as you need them, and top up when your balance runs low. There are no recurring charges.
What are credits and how do I get more?
Each time MinuteScribe generates a set of minutes it uses one credit. Your remaining credit balance is always shown in the application. When your balance runs low MinuteScribe will let you know. You can top up at any time by visiting www.minutescribe.ca and clicking Purchase Credits.
What currency is used for pricing?
All prices are shown in Canadian dollars. Taxes are included in the price so what you see is what you pay.
What if I need help?

THE SHORT VERSION
MinuteScribe is built around a simple privacy principle: your audio recording never leaves your computer. When you submit your recording, only the text transcript is sent to our AI provider — nothing more, and only at your direction. This policy explains exactly what happens to your data when you use MinuteScribe.

1. WHO WE ARE
MinuteScribe is a Windows desktop application developed and operated by Franklin Wong, carrying on business as MinuteScribe (“MinuteScribe,” “we,” “us”). You can reach us at support@minutescribe.ca.

2. WHAT MINUTESCRIBE DOES — AND DOES NOT — COLLECT
MinuteScribe does not collect, store, or transmit: your audio recordings; your name, email address, or any account information; usage statistics or analytics. MinuteScribe makes no network connections except when processing your recording.

The only data that leaves your computer is the text transcript of your meeting after you have submitted the audio recording. See Section 3 for details.

3. WHAT HAPPENS WHEN YOU SUBMIT YOUR RECORDING
When you submit your audio recording, MinuteScribe does the following: (1) Your audio file is transcribed into text on your own computer using a local speech-recognition model. The audio file never leaves your machine. (2) The text transcript is sent to the Anthropic API, operated by Anthropic, PBC, for the sole purpose of producing your formatted meeting minutes. Anthropic does not use API inputs to train its models. The transcript is processed and the result is returned to your computer — it is not stored or retained by MinuteScribe. (3) The finished minutes are returned to your computer and displayed in the application.

No other network communication takes place. MinuteScribe makes no background connections of any kind.

4. ANTHROPIC’S HANDLING OF TRANSCRIPT DATA
For completeness, Anthropic’s data practices are governed by their Privacy Policy, available at https://www.anthropic.com/legal/privacy. We have no control over Anthropic’s data practices and are not responsible for them.

5. YOUR RESPONSIBILITY FOR MEETING PARTICIPANTS
Meeting transcripts may contain personal information about people who attended your meeting. You are responsible for ensuring that your use of MinuteScribe complies with any applicable privacy laws and that meeting participants have been made aware that their words may be transcribed and processed. If you are unsure whether your use of MinuteScribe complies with your organisation’s privacy obligations, please seek appropriate advice.

6. CANADIAN PRIVACY LAW (PIPEDA)
MinuteScribe is operated from Canada and complies with the Personal Information Protection and Electronic Documents Act (PIPEDA). Because MinuteScribe collects no personal information itself — and because the only data transmitted is the meeting transcript sent to Anthropic at your direction — your PIPEDA rights regarding MinuteScribe are limited in practical scope. However, if you have questions or concerns about privacy, you may contact us at support@minutescribe.ca and we will respond within a reasonable time.

7. CHANGES TO THIS POLICY
If we make material changes to this policy, we will notify registered users by email and update the effective date above. The current version of this policy is always available at www.minutescribe.ca.

Refund Policy

THE SHORT VERSION
If MinuteScribe doesn’t work as described on our website or in our documentation, contact us within 30 days of purchase and we will issue a full refund. Outside that window, credits are non-refundable.

1. 30-DAY SATISFACTION GUARANTEE
If MinuteScribe does not function as described on our website or in our documentation, you may request a full refund within 30 days of your original purchase date. To request a refund, contact us at support@minutescribe.ca with your order number and a brief description of the problem. We will review every request promptly and respond within a reasonable time, typically 3–5 business days.

2. WHAT QUALIFIES FOR A REFUND
A refund may be granted where: the application fails to install or run correctly on a supported version of Windows, and the issue cannot be resolved through support; the application produces no usable output due to a defect, and the issue cannot be resolved through support; or a material feature described at the time of purchase is not present in the software. We will make reasonable efforts to resolve technical issues before processing a refund. If we cannot resolve the issue, a full refund will be issued.

3. WHAT DOES NOT QUALIFY FOR A REFUND
Refunds will not be issued for: unused call credits outside the 30-day window; dissatisfaction with AI-generated output quality (minutes may contain errors — this is disclosed in the End User Licence Agreement and on our website); refund requests submitted more than 30 days after the purchase date, for any reason; or incompatibility with unsupported operating systems or hardware configurations.

4. HOW REFUNDS ARE PROCESSED
Approved refunds are processed through our payment processor. Refunds are returned to the original payment method. Processing time is typically 5–10 business days depending on your bank or card issuer. We have no control over your financial institution’s processing times.

5. CREDITS HAVE NO CASH VALUE
Call credits purchased through MinuteScribe have no cash value and are non-transferable. They may not be exchanged for cash except as described in this Refund Policy.

6. CHANGES TO THIS POLICY
We reserve the right to update this policy. Any changes will apply to purchases made after the updated effective date. The current version is always available at www.minutescribe.ca.

End User Licence Agreement (EULA)

BEFORE YOU BEGIN
Please read this agreement carefully before using MinuteScribe. By accepting these terms during installation, you agree to be bound by them on behalf of your organisation. If you do not agree, you may not use the software — but please contact us at support@minutescribe.ca and we will do our best to help.

1. WHO THIS AGREEMENT IS BETWEEN
This agreement is between Franklin Wong, carrying on business as MinuteScribe (“MinuteScribe,” “we,” “us”), and the organisation on whose behalf you are accepting these terms (“you,” “your organisation”). This licence is granted to your organisation, not to you personally.

2. GRANT OF LICENCE
We grant your organisation a non-exclusive, non-transferable licence to install and use MinuteScribe on computers owned or controlled by your organisation, subject to the terms of this agreement. Your licence begins when you accept these terms and remains in effect until terminated in accordance with this agreement.

3. WHAT YOU MAY NOT DO
The following are not permitted: resell or redistribute the software or your call credits to any third party; share or transfer your licence to another organisation; reverse engineer, decompile, or disassemble the software or attempt to derive its source code; attempt to extract, reverse engineer, or misuse any credentials, keys, or authentication tokens embedded in the software (doing so is a breach of this agreement and may result in immediate termination of your licence without refund); use the software for any purpose that violates applicable law.

4. CALL CREDITS AND USAGE LIMITS
Each time MinuteScribe produces meeting minutes, one call credit is used. Your remaining credit balance is always shown in the application. Credits do not expire. When your credits run out, you can purchase additional credits at www.minutescribe.ca. Credits have no cash value and are non-transferable. The application will prevent minutes generation when your credit balance reaches zero — this is not a defect.

5. YOUR AUDIO AND YOUR DATA
Your audio recordings are transcribed locally on your computer using a built-in speech recognition model. Your audio files are never uploaded, transmitted, or shared under any circumstances. When you submit your audio recording, the text transcript is sent to the Anthropic API for the sole purpose of producing your meeting minutes. This is the only network communication MinuteScribe makes. No background connections, no telemetry, and no silent data transmission of any kind take place. You are responsible for ensuring that your use of MinuteScribe complies with applicable privacy laws and that participants have been appropriately informed.

6. AI-GENERATED OUTPUT — YOUR RESPONSIBILITY
MinuteScribe uses artificial intelligence to generate meeting minutes. AI-generated content is not perfect. The output may contain errors, omissions, misidentified speakers, or inaccuracies. You are responsible for reviewing all AI-generated minutes before using them as an official record of any meeting. MinuteScribe is a productivity tool, not a substitute for human judgement. We are not liable for any consequences arising from errors in AI-generated output.

7. THIRD-PARTY SERVICE DEPENDENCY
MinuteScribe depends on the Anthropic API to generate meeting minutes. We cannot guarantee uninterrupted service. If Anthropic’s servers are unavailable, minutes generation will not work until service is restored. We are not liable for any loss or inconvenience caused by Anthropic outages or service disruptions. If Anthropic deprecates models used by MinuteScribe, we will notify you by email and provide a free updated version within a reasonable time.

8. UPDATES
We may release updated versions of MinuteScribe from time to time. You will be notified by email. Updates are free for the life of your purchased credit bundle. You choose when to install updates — we will never update the software on your computer without your action.

9. REFUNDS
We offer a 30-day money-back guarantee if the software does not function as described on our website or in our documentation. Unused credits are non-refundable outside the 30-day window. To request a refund, contact support@minutescribe.ca with your order number. The full Refund Policy is available at www.minutescribe.ca.

10. LIMITATION OF LIABILITY
To the fullest extent permitted by applicable law: our total liability to your organisation for any claim arising out of this agreement is limited to the amount your organisation paid for the software; we are not liable for any indirect, incidental, consequential, or special damages, including but not limited to lost data, lost revenue, or business interruption; the software is provided as-is, without warranty of any kind, express or implied. Nothing in this agreement limits liability that cannot be excluded under applicable law.

11. GOVERNING LAW
This agreement is governed by the laws of the Province of Ontario and the federal laws of Canada applicable therein. Any disputes arising under this agreement will be subject to the exclusive jurisdiction of the courts of Ontario.

12. ENTIRE AGREEMENT
This agreement, together with the Privacy Policy and Refund Policy incorporated by reference, constitutes the entire agreement between you and MinuteScribe regarding the software. It supersedes all prior discussions, representations, or agreements, whether written or oral.

From installation to your first set of finished minutes.
MinuteScribe is designed to be straightforward to install and use. This guide walks you through everything in five parts. If you get stuck at any point, help is available at support@minutescribe.ca.
Part 1 — Installing
Step 1
Download the installer
After your purchase, you will receive an email containing your download link. Click the link to download the MinuteScribe installer file — called MinuteScribe_Setup.exe — to your computer. Your browser will save it to your Downloads folder.
Step 2
Windows will show a security warning — here is what to do
When you double-click the installer, Windows will display a security warning that says “Windows protected your PC.” This is normal and expected for newly released software. It does not mean MinuteScribe is harmful.
  1. Click More info on the warning screen
  2. Click Run anyway
  3. The installer will open normally
Step 3
Run the installer
The MinuteScribe installer will open as a standard Windows wizard. Click Next through the steps and then click Install. When installation is complete click Finish. A MinuteScribe shortcut will appear on your desktop automatically.
Part 2 — First-time Setup
Step 4
Enter your organisation name
The first time MinuteScribe is run, a text file will open in Notepad. You are asked to type your organisation’s name. Click Save in Notepad to save the text file. MinuteScribe will use this name in every set of minutes it produces.
Step 5
Enter your personnel list
The first time MinuteScribe is run, a text file will open in Notepad. You are asked type the names of your board members or regular attendees, one per line. Click Save in Notepad to save the text file. Close Notepad. MinuteScribe includes this list in the minutes.
Step 6
Enter your redemption code
Double-click the MinuteScribe shortcut on your desktop. Click Credits in the menu bar then Redeem Credit Code. Type or paste the redemption code that came with your purchase confirmation email.
Part 3 — Getting Your Recording Ready
MinuteScribe needs your meeting recording. Choose your recording scenario below and follow those steps. If you recorded on your phone, also follow the LocalSend transfer steps.
Getting the audio recording onto your computer is the one step where you may need help from someone. The process becomes familiar quickly. Ask a tech-savvy colleague to help install LocalSend if needed — instructions are in the User Questions section.
Step 1 — iPhone
Record your meeting
Open the Voice Memos app before the meeting begins. Tap the red record button to start. Tap Stop when the meeting ends.
Step 2 — iPhone
Save the recording to your phone’s Files folder
  1. Open Voice Memos and tap your recording to select it
  2. Tap the three dot menu (•••)
  3. Tap Share, then Save to Files
  4. Navigate to Downloads, supply a filename, tap Save
Then continue to the LocalSend steps below.
Step 1 — Android
Record your meeting
Open the Recorder app before the meeting begins. Tap the record button to start. Tap Stop when the meeting ends.
Step 2 — Android
Save the recording to Downloads
  1. Open the Recorder app and tap your recording to select it
  2. Tap the three dot menu, then the Share icon
  3. Tap Next to select the Audio (.m4a) file, then tap Files
  4. Supply a filename and save to Downloads
Then continue to the LocalSend steps below.
Step 1 — Zoom
Save your Zoom recording
Have the host turn ON recording at the start. Stop when the meeting ends. The recording is saved automatically to the Zoom folder on your computer. Rename it, then go to Part 4.
Step 2 — Teams
Save your Teams recording
Have the host turn ON recording at the start. Stop when the meeting ends. The recording is saved to OneDrive. Download it to your Downloads folder, rename it, then go to Part 4.
iPhone and Android users — Transfer using LocalSend
Step 3
Open LocalSend on both devices
Open LocalSend on your computer first, then on your phone. Both must be on the same WiFi network.
Step 4
Send the recording from your phone
  1. Tap Send, then File, then Audio
  2. Select your recording and tap your computer name
Step 5
Accept on your computer
Click Accept when the request appears, then Done when complete.

Rename the recording if needed
Open MinuteScribe, click Select Audio File, find the file in Downloads, right-click and Rename it to something like 2026-05-14-Meeting.
Part 4 — Running MinuteScribe

Select your recording file
Double-click the MinuteScribe shortcut. Click Select Audio File, navigate to Downloads, click your recording, and click Open.
Step 8
Wait for processing
MinuteScribe begins processing immediately. A two hour meeting takes approximately ten minutes. Do not close the application while it is working.
Step 9
Review your finished document
Your completed minutes open automatically in Word. Read through carefully before using as an official record. Speaker names may need correction. To find your minutes later, click Open Minutes Folder.
Part 5 — Managing Credits
Step 10
Checking your balance
Your remaining credit balance is always shown in the MinuteScribe application. Each time MinuteScribe produces a set of minutes, one credit is used. When your balance reaches three credits or fewer, MinuteScribe will remind you to top up.
Step 11
Topping up when your balance is low
Open the Credits menu and select Buy Credits. Complete your purchase and enter the new redemption code by selecting Redeem Credit Code. Your new credits are added immediately.

Installing and setting up LocalSend
How do I install LocalSend on my computer and phone?
LocalSend transfers your meeting recording over your WiFi network. The file never leaves your local network. Choose your device below.
  1. Go to localsend.org and click Download
  2. Click EXE (Installer) to download
  3. Double-click the installer, select Install for all users, click Yes
  4. Accept defaults, add desktop shortcut, click Next → Install → Finish

Computer requirements and Google Meet
What are the minimum computer requirements to run MinuteScribe?
MinuteScribe requires Windows 10 or Windows 11. The computer should have at least 8GB of RAM. A computer with only 4GB of RAM may struggle with the audio transcription step. A mid-range computer purchased in the last five years should be sufficient.
How can I record a meeting held on the free version of Google Meet?
The free version of Google Meet does not include a built-in recording feature. Free Chrome extensions are available that can record your meeting audio. MinuteScribe works with the audio formats these extensions produce.

Cloud storage for large audio files
How do I set up cloud storage to transfer a recording that is too large to send by email?
If a recording exceeds 200MB it cannot be transferred by email. Google Drive is a free cloud storage service that can be used to transfer large files between your phone and computer.
